From quote to paid invoice: 3 steps without chasing

How to close the quote → approval → invoice → payment chain without a single manual retyping step.

The gap between "quote accepted" and "money in the bank" is where agencies leak revenue: forgotten invoices, late reminders, retyped lines with errors. Here is how to close that chain in three steps.

Step 1: approval = digital

Send quotes with a public approval link instead of a PDF attachment. The client reads, signs, and you see the moment of approval — no more "did you receive it?" e-mails.

Step 2: invoice from the quote, not from memory

An accepted quote contains everything the invoice needs: lines, amounts, VAT. Let your system generate the invoice instead of retyping it — every retype is an error risk and lost time.

Step 3: frictionless payment, reminders without you

Put a payment link on the invoice and let reminders run automatically (day 7 friendly, day 14 businesslike). Agencies that switch this on typically see their debtor days drop by a third.

In The Agency CRM this whole chain is one click-path: quote → approval → invoice → payment link → automatic reminder. And the client portal shows the client exactly what is outstanding.
