How to give clients insight into project progress without endless e-mails

A client portal answers status questions before they are asked — this is what belongs in it.

"How are things going?" is the most expensive e-mail in your inbox: it costs you half an hour of digging and gives the client the feeling they had to ask. The answer is not a weekly update e-mail, but a place where the client sees it themselves.

What a client portal should show at minimum

Progress per project (task-based, not manually maintained), outstanding and paid invoices, quotes with their status, and one place to ask questions that arrive with you as tickets. Everything the client can see, they no longer need to ask.

The rules for trust

Show real data, not manually updated percentages — those always lag, and the client can feel it. Show hours if you bill by the hour. And give the portal your own branding: it is your brand, not your software vendor's.

The effect

Agencies that switch on a portal report that status questions all but disappear and that clients ask for renewals here instead of the other way around — because the value is visible.
